Our client, an independent regulator and coordinating agency mandated to oversee, control and provide strategic direction and policy framework in the area of Health and Safety are seeking to recruit for an enthusiastic and ambitious Front Office Manager / Receptionist to join the dynamic team and provide administrative support.

The moment a client steps into our premises, they walk into a genuinely memorable experience. As Front Office Manager / Receptionist, you will deliver this through managing all aspects of the front office and administrative support. You’ll also create the warm atmosphere that makes our guests feel at home.


The purpose of the job is to receive & attend to visitors and handle in-coming and out- going telephone calls at our busy head office. The position also entails (as and when required) to provide secretarial services and basic administrative duties for senior management staff in order to ensure they operate smoothly and effectively.

Front Office Manager / Receptionist will specifically be in charge of but not limited to the following:


Managing the reception desk in order to:

  • Attend to visitors, direct visitors to other offices in the building, attend to visitors’ basic enquiries on the organisation’s business and receive and send mail to respective officers.
  • Operates the switchboard by receiving/answering calls from outside and routing them to appropriate offices accurately and with minimum delay.  Also places approved calls requested by members of staff, accordingly
  • Records outgoing calls in register to ensure that calls are noted and monitored, and that such calls are approved
  • Receives telephone bills from ZAMTEL, scrutinizes same to ensure that payments agree with information recorded on the computer to ensure that amount demanded by ZAMTEL is correct.  Informs superior of any problems/differences for appropriate action
  • Takes messages when necessary and communicates them correctly as soon as possible
  • Records mobility of staff to show duration out of station. Obtains such information from individuals, verbally or via email, and submits report to superior on monthly basis.
  • Types letters, and other documents, for various officers and ensures that these are promptly submitted to job originators
  • Performs any other lawful duties assigned by superior 



  • Is required to keep all correspondence and other details coming to her attention for typing confidential
  • Excellent writing, reading, communication and Basic arithmetic skills
  • Excellent interpersonal and communication skills to deal with officials and visitors/callers. The proper reception of visitors is of considerable importance due to status of visitors received which include senior government officials and officials from donor countries.
  • Must be courteous when handling callers, and to interact well with other members of staff.
  • Good in productivity software such as Microsoft word, excel, power point and different mail platforms


ü  Diploma in Secretarial/Management Studies with Secretarial Certification – 65 WPM – typing speed and 120 WPM

DeDegree in any social sciences would be an added advantage

5+ 5+ years’ experience in a similar role with membership with a relevant professional body
